Job Summary/Basic Functions

Under minimal supervision from the Department Head, this position provides comprehensive administrative support to the Department of Prosthodontics. The incumbent serves as the primary administrative assistant to the Department Head and departmental faculty (10 full-time and 11 part-time Faculty members) and coordinates selected administrative functions related to the postgraduate clinic. This role supports certain operational aspects of the Prosthodontic Postgraduate Program in collaboration with the Program Director and the Postgraduate Program Coordinator; however, it is not solely responsible for postgraduate program administration. Additionally, this position provides administrative support to the Department of Dental Laboratory Technology Program and faculty housed within the Department of Prosthodontics. The role requires independent judgment, initiative, accountability, and strict confidentiality.

Duties and responsibilities, but not limited to:

  • Administrative Assistant to the Department Head
  • Manage all administrative functions for the Department Head, including calendar coordination, travel arrangements, meeting scheduling, and preparation of required documentation for faculty and residents.
  • Maintain departmental accounts with the LSUH Foundation; process payments and reimbursements as needed.
  • Prepare and process reimbursements for faculty for dues or memberships paid through departmental or foundation accounts.
  • Initiate and monitor purchase requisitions; approve invoices and ensure accurate posting to appropriate accounts.
    Assist in organizing annual postgraduate applicant interviews (communication, scheduling, and candidate information
    tracking).
  • Maintain and update clinic forms and manuals as needed.
  • Assist with postgraduate orientation logistics.
  • Monitor and approve clinic invoices, ensuring accurate posting to appropriate accounts.
  • Maintain the department P card and correctly allocate expenses.
  • Maintain inventory records of Department and clinic equipment, including serial numbers, coordinate tagging and disposal
    with Inventory Services.
  • Assist with recordkeeping required for Commission on Dental Accreditation (CODA) compliance under direction of the Program Director

Minimum Qualifications

Required Education: High School Diploma or GED

Other Education if applicable: No minimum required

 Number of years required to perform the job: 3

Type of experience required to perform the job:  Administrative Services a major duty

Substitution: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

This is a Civil Service Position.

Pre-employment Drug testing and Criminal Background check are required.

This position will require selected applicant to be in a probationary status for at least 6 months.

Appointment Type: Classified Probational 
Work Schedule: Monday- Friday; work hours will be determined by the department

Compensation: The minimum starting rate of pay is $13.77 per hour with an additional $1 Longevity. Rate of pay may be adjusted dependent upon applicants’ experience and qualifications only if all experience is listed with application materials (including month & year of start and end date and weekly hours worked for each position listed.)
